This policy applies to personal information collected through fp-plumbing.ca and in the course of providing plumbing services in Ontario, Canada.

1. Who We Are

FP Plumbing (“we”, “us”, “our”) is a licensed residential plumbing contractor operating across the Greater Toronto Area, Ontario, Canada. We are committed to protecting the privacy of every person who contacts us, visits our website, or engages us to perform plumbing services.

2. Applicable Law

We operate in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s federal private-sector privacy law, as well as Canada’s Anti-Spam Legislation (CASL). Ontario does not have a substantially similar provincial private-sector privacy law; PIPEDA therefore applies to all personal information we collect in the course of commercial activity.

Where we collect personal health information (for example, details about a home’s occupants relevant to an emergency repair), we treat that information with the same or greater care as required by PIPEDA.

3. Information We Collect

We collect only the personal information necessary to provide you with plumbing services and to operate our business. This may include:

  • Full name
  • Phone number (mobile and/or home)
  • Service address and postal code
  • Description of your plumbing issue or service request
  • Photos or videos of the problem area that you voluntarily attach to a service request
  • Preferred appointment date/time and any access instructions for your property
  • Payment information — collected at time of service; we do not store full payment card numbers

Automatic / technical data. When you visit our website, we may automatically receive your IP address, browser type, operating system, referring URL, pages viewed, and session duration through Vercel Analytics and, where enabled, Google Analytics 4. This data is aggregated and anonymized where possible and is not linked to your name or contact details.

Honesty about what we do not collect. We do not collect government-issued identification numbers, Social Insurance Numbers, or financial account credentials through this website.

4. How We Collect Your Information

We collect personal information through the following means:

  • Phone calls and SMS messages to our business number
  • In-person when we attend your property to perform work
  • Third-party referral platforms (e.g., HomeStars) where you have engaged us through that platform

We rely on your express consent (e.g., calling or texting us) or, where appropriate under PIPEDA, implied consentbased on the context of our relationship. You may withdraw consent at any time (see Section 11).

5. How We Use Your Information

We use personal information only for the purposes for which it was collected or for purposes that a reasonable person would consider appropriate in the circumstances:

  • Responding to service inquiries, quote requests, and emergency calls
  • Scheduling and confirming appointments; providing access instructions to our technician
  • Communicating about the work being performed at your property, including any changes in scope or cost
  • Issuing invoices and processing payment
  • Maintaining records of work performed for warranty, permit, and regulatory compliance purposes
  • Improving our website and services through aggregated, anonymized analytics
  • Complying with applicable laws, regulations, and professional licensing requirements under the Skilled Trades and Apprenticeship Act, 2021 (Ontario) and the Ontario Building Code

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes under any circumstances.

We do not send unsolicited commercial electronic messages. Any marketing or promotional messages we send require your prior express or implied consent in accordance with CASL. Every such message includes a clear and easy way to unsubscribe.

6. Third-Party Service Providers

We engage a small number of trusted third-party service providers who process personal information on our behalf under contractual confidentiality and data-protection obligations:

We do not authorize these providers to use your information for any purpose other than to provide the services described above. We will notify you of any material change to our service providers.

7. Cross-Border Transfer of Personal Information

Some of our service providers process data on servers located outside Canada, primarily in the United States. By submitting your information through this website or engaging our services, you acknowledge that your personal information may be transferred to, stored in, and processed in jurisdictions with different privacy laws than those in Canada.

We take reasonable steps to ensure that such providers maintain adequate privacy protections and that the transfer complies with PIPEDA. Where possible, we configure these services to minimize the personal information transferred (e.g., IP anonymization in Google Analytics).

8. Data Retention

We retain personal information only as long as necessary to fulfill the purposes for which it was collected and to comply with our legal obligations:

  • Unanswered inquiries (no service performed): deleted or anonymized within 90 days of our last contact attempt.
  • Completed service records: retained for a minimum of 2 years to support warranty claims and a maximum of 7 years for tax and regulatory purposes, after which records are securely destroyed.
  • Text message records: kept for the duration of the service relationship plus 2 years.
  • Permit-related records: we may be required to retain certain plumbing inspection and permit records for up to 7 years under the Ontario Building Code.

You may request earlier deletion of your information, subject to our legal obligations to retain it (see Section 11).

9. Security Safeguards

We implement reasonable administrative, technical, and physical safeguards to protect your personal information against unauthorized access, disclosure, copying, use, or modification:

  • All data transmitted between your browser and our website is encrypted using TLS (HTTPS).
  • Inquiries received by phone and text are handled by the owner directly on a password-protected device with screen-lock enabled.
  • Access to client records is limited to the owner and any staff who require the information to perform their duties.
  • Paper records (if any) are stored in locked filing and are shredded when no longer required.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to use commercially reasonable means to protect your information, we cannot guarantee its absolute security.

10. Cookies and Analytics

Our website may use cookies and similar tracking technologies to improve your browsing experience and to collect aggregated analytics data. The types of cookies we may use are:

  • Strictly necessary cookies: required for the website to function. No consent is required for these.
  • Analytics cookies (Google Analytics 4): help us understand how visitors use our website. These are only activated with your consent. You may opt out at any time using the Google Analytics Opt-out Browser Add-on.

You can configure your browser to refuse all or some cookies. Disabling cookies will not prevent you from using our website or submitting a service request.

11. Your Rights Under PIPEDA

Under PIPEDA, you have the following rights with respect to your personal information:

  • Right of access. You may request a copy of the personal information we hold about you.
  • Right to correction. You may request that we correct inaccurate or incomplete personal information.
  • Right to deletion. You may request that we delete your personal information. We will comply unless we are legally required or permitted to retain it.
  • Right to withdraw consent. You may withdraw your consent for us to use your personal information at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawal of consent may mean we are unable to continue providing services to you.
  • Right to lodge a complaint. If you are unsatisfied with our response to a privacy concern, you may file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.

To exercise any of these rights, please contact our Privacy Officer by phone or text at (647) 643-0358. We will acknowledge your request within 10 business days and respond substantively within 30 days, or notify you if we require additional time.

12. Data Breach Notification

In the event of a breach of security safeguards involving your personal information that creates a real risk of significant harm, we will:

  • Notify the Office of the Privacy Commissioner of Canada as required by PIPEDA and the Breach of Security Safeguards Regulations;
  • Notify you directly as soon as reasonably feasible; and
  • Maintain a record of all breaches of security safeguards for a minimum of 24 months.

13. Children's Privacy

Our services are intended for homeowners and adult residents of Ontario. We do not knowingly collect personal information from individuals under the age of 16. If you believe we have inadvertently collected information from a minor, please contact us immediately and we will delete it promptly.

14. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. The “Last updated” date at the top of this page will reflect when the most recent changes were made. We encourage you to review this page periodically. Where changes are material, we will make reasonable efforts to notify affected individuals.
